Refund Policy

Summary

GrayLeads subscriptions and credit packs are sold as digital services that begin delivering value immediately upon purchase. Refunds are issued on a discretionary, case-by-case basis under the terms below. All refund requests must be sent to contact@softwareforge.agency within the windows described in this policy.

1. Subscription plans

Paid plans are billed in advance on a monthly or annual cycle. You may cancel at any time from your billing settings. Cancellation stops the next renewal but does not retroactively refund the current billing period, and you continue to have access to paid features until the end of the period you already paid for.

A pro-rata refund of the current period may be granted in good faith if all of the following are true: the request is submitted within seven (7) days of the most recent renewal, the account has not been used to send outbound communications (email, SMS, WhatsApp, calls) during that period, and fewer than fifty (50) AI requests have been consumed. Outside of this window the period is non-refundable.

2. Credit packs and one-time purchases

Credit packs purchased for AI, scraping, enrichment, or messaging usage are non-refundable once any portion of the pack has been consumed. Unused credit packs may be refunded within fourteen (14) days of purchase if no credits from that pack have been spent. Credits do not expire while your account remains in good standing but are not transferable between organizations or convertible to cash.

3. Free trials and promotional credits

Free trials, promotional credits, and amounts granted at the platform's discretion have no monetary value and are not refundable in cash or credit. If a trial converts to a paid plan, the standard subscription refund rules in Section 1 apply from the conversion date.

4. Third-party pass-through costs

Some GrayLeads features rely on third-party providers including OpenAI, Twilio, Brevo, Google Maps, and deployment-specific SMTP relays. Telephony usage, messaging fees, phone number rentals, and similar pass-through charges billed by those providers are non-refundable once incurred, even if a GrayLeads subscription is refunded.

5. Service interruptions

GrayLeads does not guarantee uninterrupted availability. Brief outages, maintenance windows, and third-party provider incidents do not by themselves create a right to a refund. If a sustained incident materially prevents you from using the service for more than seventy-two (72) consecutive hours, contact contact@softwareforge.agency and we will review your account for a service credit on the next billing cycle.

6. Accounts suspended for abuse

Accounts suspended or terminated for violating the Terms of Service or Acceptable Use Policy, including unauthorized scraping, spam, harassment, or fraudulent payment activity, are not eligible for refunds of subscription fees or unused credits.

7. EU and UK statutory right of withdrawal

Where mandatory consumer law (for example the EU Consumer Rights Directive) grants a right of withdrawal for digital services, you may exercise that right within fourteen (14) days of purchase by contacting contact@softwareforge.agency. By starting to use paid features within the withdrawal period you expressly acknowledge that the right of withdrawal lapses for the portion of the service already supplied.

8. Chargebacks

Please contact us before initiating a chargeback so we can resolve billing concerns directly. Chargebacks filed without prior contact may result in immediate suspension of the affected account pending resolution with the payment processor.

9. How to request a refund

Send your request to contact@softwareforge.agency from the email address on the billing account. Include the workspace name, the invoice or transaction ID, and a short description of the reason. Approved refunds are returned to the original payment method within ten (10) business days; the time for the funds to appear on your statement depends on your bank or card issuer.
